General Requirements

Slides must use the 16:9 aspect ratio. Presentations prepared in a 4:3 aspect ratio will be displayed with black bars on either side of the screen.

Presentations must be uploaded to Indico no later than 15:00 on the day before your scheduled presentation to allow sufficient time for verification and transfer to the conference A/V file server.

Authors will not be permitted to use their personal computers for presentations under any circumstances.

Each Invited Oral Presentation is allocated 25 minutes for the presentation, followed by 5 minutes for the Session Chair introduction and questions.

Each Contributed Oral Presentation is allocated 15 minutes for the presentation, followed by 5 minutes for the Session Chair introduction and questions.

Each Tutorial Presentation is allocated 45 minutes for the presentation, followed by 5 minutes for questions.
Once presentations have been uploaded to Indico, speakers are requested to verify them on one of the conference computers provided in the Speaker Ready Room.
Presentation files that have been successfully uploaded and presented will be published on the conference website as part of the conference presentation archive without any further action by the speaker.

If your presentation includes special requirements (for example, movies, audio, or unusual fonts), please notify the IBIC2026 Editorial Team in advance by email at IBIC2026@triumf.ca, or advise the Presentation Manager in the Speaker Ready Room as early as possible.
Speaker Ready Room
The Speaker Ready Room is located on the lower level of the Whistler Conference Centre in Blacktusk.
All speakers are requested to review their presentation in the Speaker Ready Room before their presentation to ensure that fonts, animations, videos, and other media display correctly. The computers in the Speaker Ready Room are configured identically to those used in the Rainbow Theatre.

Presentation Equipment and Software
Presentation computers will be Windows-based PCs.
The following software will be installed:

Mozilla Firefox
Authors are not permitted to use their own computers.
The lectern will be equipped with:

A confidence monitor displaying the presentation. (tbd)

A presentation remote with slide forward/back controls and laser pointer.

A countdown timer to assist speakers in keeping to their allocated presentation time.
Preparation of Presentation Slides
In addition to the presentation source file, speakers are required to upload a PDF version of their presentation for inclusion in the conference presentation archive.
Ensure for ALL file types:

Embed all fonts.

Embed all images and other resources.
-
Do not use externally linked images, videos, or fonts.

Test embedded movies to ensure they play correctly.
Upload of Presentations
Presentation files are uploaded through Indico using the same procedure as paper submissions.
Presentation files should be uploaded as early as possible and no later than 15:00 on the day before the scheduled presentation.
Files should be named using the Programme Code followed by "_talk".

Upload the files through My Contributions in the IBIC2026 Indico system.
When uploading your files, select Slides from the Submit Files menu in the Editing section of your contribution.
During the Presentation
The Session Chair and Session Assistant will assist speakers before and during the session.
A conference A/V technician will be available in the Rainbow Theatre to resolve any technical equipment issues.
The Presentation Manager will assist with any presentation file or software-related issues.
