Please submit your abstracts via Indico.
Submitting authors should first read the guidelines below before submitting their abstracts. All authors will need a JACoW account with up-to-date information.
1. Check your JACoW account
All submitting authors must own an account within the JACoW Repository, prior to submitting an abstract.
• If you're unsure, search your name in the Central Repository and follow the instructions to create an account if needed. Detailed instructions are available on the IPAC official documentation website.
• Before submitting, ensure all authors personal data in the Central Repository is accurate and up-to-date (e.g., email address, main affiliation). This information is used in the Indico system for author lists, the abstract booklet, and final proceedings on JACoW. Update your data by clicking the “Modify Your Profile” link.
2. Login to the HIAT’25 Indico system
Now that you have a JACoW account, login to the HIAT 2025 Indico Website. Be sure to use your JACoW username when logging in and not your email address.
3. Submit abstract
Submit your abstract(s) by clicking on the “Submit new abstract” link and following the instructions below.
Title
Enter the title of the abstract, using sentence case. Use capitals only where appropriate, as for acronyms or SI units. For example: The EXP experiment running at 4 GeV.
Content
Please enter a text-only abstract here. Text should not exceed 1200 characters. It should describe the paper and include a statement of the issue, research methods, and significant findings. Authors are requested to avoid using Greek symbols, superscripts or subscripts, LaTeX, MarkDown etc. Use one or more asterisks (*, **, etc.) to indicate footnotes to be entered in the footnotes field.
Author(s)
Please follow the dedicated instructions to correctly enter all your co-authors.
In brief, only the main (first) author should be listed in the “Authors” section in Indico. All other authors need to be added as “Co-authors”. Ensure to enter all co-authors. Failure to do so will exclude them from the author index in the proceedings.
It is assumed that the main/first author or the one marked as “speaker” (presenter) in Indico will submit a paper for the conference proceedings. If someone other than the submitting author will present the paper, this should be indicated on this page.
If a paper is selected for a contributed talk, the “speaker” will identify the presenter for the oral session. For papers selected for poster presentation, the “speaker” will identify the presenter for the poster session.
Contribution type
The default for all contributions is poster presentation. The HIAT’25 IAC will pick up abstracts to be presented as contributed talks.
Classification of Abstracts (tracks)
All contributions are grouped by tracks (HIAT’ 25 topics are default tracks). Authors must properly classify their abstracts to ensure correct placement within the conference program if accepted.
Footnotes/Funding Agency
Footnotes must not exceed 200 characters. List references and publications noted by asterisks in the Abstract Text field, with each entry on a new line. Enter funding agency information in this field. Do not use this field to request conference sponsorship.

Please indicate your region to facilitate the selection process of contributed talks. (Asia, Europe, America)

4. Making Changes to Your Abstract
You can log in to the HIAT’25 JACoW Indico event and make changes to your abstract and author information at any time before the deadline. Refer to How to edit your abstracts for detailed instructions. Authors can withdraw abstracts independently until they are accepted as contributions in the programme. If you need to withdraw your contribution after that time, please contact hiat25@frib.msu.edu specifying your abstract title and ID.
