Abstract Submission
All prospective presenters are required to submit an abstract via Indico before the specified deadline.
Please review the important dates carefully. Part of abstracts may be considered for oral presentation in a contributed session. Authors of selected contributed orals are expected to be notified by August 2025.
Poster Presentations
Each poster will be allotted a space of 2.4 meters (height) by 0.9 meters (width). Please ensure your poster fits within these dimensions. Posters in A0 size (portrait) are acceptable, but North American Architectural E size posters may not fit.
Posters must be installed before the start of the poster session and removed immediately afterward. Presenters are expected to be present at their posters for a significant portion of the session. Failure to do so may result in the corresponding paper being excluded from the proceedings.
Oral Presentations
Size/Formatting: Slides with a ratio of 16:9. However, other ratios such as 4:3, will also be accepted. Presentations will be displayed using Microsoft Windows-based hardware.
Uploading:
Please upload your electronic presentation via Indico as early as possible, and no later than 3:00 p.m. on the day before your scheduled talk.Uploaded slides will be made available on the conference website and published in the proceedings.
File name format: [Paper Code]_talk.pptx or .pdf (e.g., MOLAA01_talk.pptx)
Upload your slides the same way as you submitted your paper. Your paper code can be found when you log in to Indico.
Accepted formats: Microsoft PowerPoint (.ppt/.pptx) and PDF.
On-site Upload:
Bring the file to the Presentation Quality Assurance Desk on-site ON THE DAY BEFORE YOUR SESSION.
Please verify at the desk that your presentation has been successfully loaded and displays correctly.
Paper Preparation Guidelines
All papers must be prepared in accordance with JACoW guidelines. The JACoW Author Information site provides templates, reference tools, preparation instructions, and pre-submission check tools.
Invited oral presentations may be up to 5 pages long. Contributed oral presentations may be up to 3 pages long. Poster presentations may be up to 3 pages long. Note that references are not included in the page limit. If your contribution includes an extensive reference list, one additional page may be used for references.
Paper Submission
Please prepare your paper using the official JACoW template, available at:
https://www.jacow.org/Authors/HomePage
Once your manuscript is ready and follows the Paper Preparation Guidelines, upload the following three components via the submission system:
Source File
LaTeX (.tex), Microsoft Word (.docx), or OpenDocument (.odt) file.
PDF File
A compiled PDF generated from the source file, with all fonts embedded.
Figure Files
All original figure files in standard formats (.eps, .png, .tif, .jpg, .pdf, etc.).
Ensure that the image quality matches the PDF version, especially for color images and embedded text.
All files must be named exactly according to the assigned paper code.
Example (Paper Code: MOLAA01, with two figures):
MOLAA01.tex (or .docx, .odt) → upload as “Source File”
MOLAA01.pdf → upload as “PDF”
MOLAA01_f1.png → upload as “Other Supporting Files”
MOLAA01_f2.jpg → upload as “Other Supporting Files”

Left Menu → My Conference → My Contributions:
Click on your paper title it will jump to submission page → click on the blue box of “Submit files”.
Please double-check that all required files are submitted. Incomplete uploads may delay or prevent inclusion in the proceedings.
Proceedings
Conference proceedings will be published on the JACoW platform.
Note: To be eligible for publication, the corresponding work must be presented at the conference, either as a poster or an oral presentation.
